Wedding Day Stationery Checklist: From Ceremony to Reception

Wedding day stationery helps guests move through the celebration and carries your invitation design into the room. Start with the information guests need, then choose the pieces that fit your plans.

Ceremony pieces

Consider a welcome sign, ceremony programs, reserved seating signs, and any directions guests need on arrival. A program is most useful when it explains an unfamiliar ceremony or acknowledges meaningful participants. You do not need a printed piece for every moment.

Cocktail hour details

Bar menus, signature drink signs, cocktail napkins, and small food labels can make cocktail hour feel considered. Review drink names and descriptions with the venue or planner. Any allergy or dietary wording should come from the team responsible for the food.

The seating plan

A seating chart or escort cards guide guests to tables. Place cards identify individual seats when you need assigned seating or meal identification. Confirm how the caterer will use any meal indicators before the artwork is finalized.

Reception tables

Table numbers and menus help guests settle in. Add place cards where appropriate, and consider a short note or meaningful detail only if it serves your celebration. Check that table numbers are readable from a guest’s approach to the table.

Other signs

Gift table, guest book, transportation, and directional signs should solve an actual navigation or information need. Walk through the event with your planner to identify where guests could be uncertain. Clear wording and placement matter more than the number of signs.

Work from one approved guest list

Final names, table assignments, meal selections, and quantities should come from one coordinated list. Set the handoff date around your RSVP deadline and production requirements. Last-minute changes are easier to manage when the file format and responsibilities are clear.

Carry the design forward

Repeat a few elements such as a monogram, type pairing, illustration, or color. Day-of pieces do not have to be exact copies of the invitation. See our place card and escort card guide and timeline for planning details.
