Wedding Envelope Addressing: A Guide to Names, Guests, and Mailing Details

Envelope addressing is one of the last steps before your wedding invitations go in the mail, but it’s worth preparing your list while the design is underway. The names on each envelope tell guests who’s invited, while a complete, accurate address helps the invitation reach the right home.

Begin with the names your guests use

A formal invitation doesn’t require you to use a name or title that feels wrong for the person receiving it. Confirm full names, preferred titles, and spelling before your list goes to print or calligraphy. Titles are optional. You can address a couple using both full names for a clear, elegant presentation.

For example: Elena Morales and Daniel Chen. If the couple uses different last names, keep each person’s name intact. For a more traditional format, use their preferred titles with both full names.

Outer and inner envelopes

The outer envelope carries the mailing address. An optional inner envelope lists the invited guests more simply, without an address. It can be especially helpful when you’re inviting children or extending a plus-one.

You don’t need an inner envelope to be clear. With a single-envelope suite, put the names of everyone invited on the outer envelope.

Couples, children, and plus-ones

For a couple, include both names. They can share a line or sit on separate lines, depending on the length of the names and the addressing design.

For a family, naming the invited children helps avoid uncertainty about whether everyone in the household is included. “The Patel Family” can work when the whole household is invited, but individual names are clearer when the invitation is limited to particular family members.

For a plus-one, use the guest’s name when you know it. Otherwise, “and Guest” makes the invitation clear. Add it only when that person is welcome to bring someone. For an adults-only wedding, address the invitation to the adults who are invited and make the policy clear on your wedding website.

Keep the mailing address complete

Include the street address, apartment or unit number when applicable, city, state or region, postal code, and country for international guests. Preserve the numbers in an address accurately. A beautiful layout shouldn’t make a unit number or postal code harder to read.

Spelled-out street and state names can suit formal addressing, while standard abbreviations can work well for a modern design. We’ll choose the presentation around your suite and available space. For international addresses, keep the format appropriate to the destination country rather than forcing every address into a U.S. format.

Prepare one final address list

Use the address template provided for your project, with one invitation household per row. Keep names and mailing details in the designated columns, and leave genuinely unused fields blank. Avoid combining households or placing notes in fields that will be printed.

Before submitting, check spelling, missing unit numbers, duplicate households, and recent moves. The list should reflect exactly how you’d like each envelope addressed. Changes after addressing begins may require replacement envelopes or additional work.

Choose printed addressing or hand calligraphy

Printed addressing can coordinate closely with the typography on your invitation. Hand calligraphy brings the variation of individually written lettering to each envelope. Both can be beautiful; the right choice depends on your design, envelope paper, and mailing schedule.

Confirm your addressing plans early enough to allow for the finished invitations, assembly, and postage. Our wedding stationery timeline explains where those steps fit.

The finishing details

Include a return address and leave space for the postage arrangement you’ve chosen. When the suite is ready, review a complete assembled envelope before the full mailing is prepared.
